Clarifications — when Locari asks
Locari automatically asks for clarification when information is missing or contradictory — you answer once, the AI learns and will not ask the same question again.
The clarification system ensures no application gets stuck because a piece of information is missing. Locari detects gaps or contradictions, formulates a precise question and waits for your answer — rather than proceeding blindly or flooding you with generic alerts.
What Locari automatically does: Check information for completeness and contradictions, formulate and send clarification requests to you, forward your answer to the applicant, save the decision to AI memory. What you decide: The content of your answer, whether to dismiss a clarification, and whether to correct a learned rule.

All open clarifications across all applications are available under Rentals → Dashboard in the "Open Questions" widget. Clarifications for a single application are accessible via the Clarifications tab in the applicant or listing profile.
How to
Answer an open clarification
- Open the Dashboard — the "Open Questions" widget shows all pending entries. Alternative: applicant profile → Clarifications tab.
- Open the card of the clarification you want to handle — the question and applicant name are shown.
- Click Respond, enter your free-text answer.
- Example: Question: "The Müller family earns 2,350 € net — your minimum is 2,500 €. Forward anyway?" → Answer: "Yes, please invite for viewing."
- Click Send — Locari forwards the answer to the applicant immediately and saves the decision to AI memory.
What the AI does after your answer: Compose and send a reply to the applicant, extract a decision pattern (e.g. "income deviations up to 6% accepted"), write it to AI memory. What you do: Answer once — for the same pattern Locari will not ask again.
Dismiss a clarification
- Open the clarification card, click Dismiss.
- Confirm in the dialog — the question changes to
cancelledstatus. - Locari does not send any answer to the applicant; the case continues without that information.
Dismissing is appropriate when the question is no longer relevant (e.g. the applicant has withdrawn).
Trigger a clarification manually
- Applicant profile → Clarifications tab → + New Clarification.
- Enter your question, save.
- Locari presents the question to the applicant at the next opportunity and shows the answer once it arrives.
Manage learned rules
- Open Settings → AI Memory — or directly from the applicant profile under "Edit AI Memory".
- All rules derived from clarification answers are listed (e.g. "Small dog under 10 kg accepted").
- Edit or delete an entry — Locari applies the updated rule immediately.
What AI memory contains: Decision patterns learned from your answers. Entries apply across listings or across your account, depending on the category. What you do: Correct or remove rules at any time — the AI adapts immediately.
Views and Fields
Clarification card
Each clarification appears as a card with the following fields:
- Applicant name — whose application is affected
- Question — the exact text Locari has formulated
- Timestamp — when the clarification was created
- Status badge —
open,answered,cancelled, orexpired - Your answer (after responding) — with the timestamp of the answer
Sorting: open entries first, then by creation date descending. New clarifications appear in real time without page refresh.
Clarification types
Locari distinguishes two sources:
- Fact question (
clarification) — created when an applicant asks a question by email that Locari cannot answer from available information.- Example: "Is a 200-litre aquarium allowed?"
- Decision request (
decision_request) — created when the applicant chatbot cannot clearly apply one of your rules and needs a decision.- Example: "The Müller family has a Labrador. Pets are not permitted according to your criteria. Make an exception?"
Status values

Applicant perspective
The applicant receives your answer automatically by email. They cannot see that a clarification was sent to you — they only see Locari's regular reply.
Audit and History
The History tab in the applicant profile records every clarification activity:
- When Locari created the clarification
- Who answered (team member by name or "Locari AI")
- When the answer was sent
- Which decision was saved to AI memory
Retention: Clarification entries are retained as long as the associated application exists in the system. Manually deleting an applicant removes all clarifications permanently.
Note: Do not delete an application while clarifications are still open — the audit trail will be lost permanently.
Permissions and Multi-select
- Visible to: all team members of the owner account.
- Answer and dismiss: all team members.
- Edit AI memory: all team members — changes affect all future applications.
- Multiple applications at once: All open clarifications across all applications are visible in the Rentals Dashboard — filter by status, sort by date.
