Contacts
Your entire network of tenants, tradespeople, and service providers in one place — with full-text search, category filter, and optional sync to any mobile device.
The contact directory lets you manage everyone involved in your portfolio: tenants, tradespeople, service providers, property managers, banks, and more. With the built-in CardDAV sync, all entries are also available on iPhone, iPad, Android, macOS, Windows Outlook, and Thunderbird.
Locari AI and contacts: The contact directory is a manually maintained address book — the AI does not read contact data or make any automatic decisions here. All entries are created and edited exclusively by you or your team. What you control: creating, editing, deleting, categorising, and linking contacts to properties and rental units.

How to
Create a new contact
- Open Contacts in the navigation menu, then click Create contact.
- Step 1 — choose type and category: Example: private person, category tradesperson.
- Step 2 — enter basic information: Example: John Smith, electrician, Smith Electrical Ltd.
- Step 3 — add address and contact details: email, mobile, landline, postal address.
- Click Create contact — the entry appears immediately in the contact list.
Link a contact to a property or rental unit
- Open the contact entry and go to the Overview tab.
- In the Related properties or Related rental units section, click Link.
- Select the property or rental unit from the list — the link is saved immediately.
Example: Caretaker Thomas Bauer is linked to the property "Main Street 12, Berlin" and appears directly in the property overview going forward.
Sync contacts to your phone
- In the contact list, click Mobile Sync in the top right — you will be taken to the connections settings.
- Create a device password there and follow the setup guide for your device.

Contact List and Fields
List view
The contact list shows at a glance:
- Name — first and last name for private persons, company name for organisations
- Category — e.g. tenant, tradesperson, service provider, caretaker, bank
- Email — primary email address (click to copy)
- Mobile phone — primary mobile number (click to copy)
Search and filters:
- Full-text search across name, company, and email
- Filter by type (private person / company)
- Filter by category (all 10 categories selectable individually)
- Reset filters with Clear filters
Contact detail — Overview
Opening an entry shows:
- Basic information: salutation, first and last name or company name, date of birth, contact type, category
- Organisation: company, job title, website
- Address: street, postal code, city, country
- Contact information: email addresses and phone numbers with label (work, home, mobile, fax)
- Related properties and Related rental units (if linked)
Contact detail — Notes
The Notes tab shows team-internal sticky notes for the contact:
- Visible only to your team — the contact cannot see notes
- Notes can be created, edited, and deleted
- Example: "Prefers contact by email. Tradesperson rate 80 €/h."
Audit and History
The contact directory does not maintain a per-entry change history. Security-relevant changes (who deleted which contact) are traceable via the server-side logging of the owner account.
Deleting a contact removes the entry permanently — including all links to properties and rental units. The linked objects themselves are not affected.
Permissions and Multi-select
- Visible to: all members of the owner account.
- Create and edit: all members.
- Delete: only administrators — the action is irreversible.
- Edit multiple contacts at once: not available; changes are made per entry.
- Search and filter the contact list: all members — search by name, email, category, and type.
