Notes (Listing)
Create and edit internal notes on the listing pinboard, visible to the entire rental team — invisible to applicants.
This is the Notes tab on a listing (case level). It shows all internal notes created for this listing. For notes on a single applicant, see Applicant Details — Notes.
On this page your team records all listing-related information that is not captured elsewhere — for example agreements with the landlord, special requirements, or internal coordination. Notes are visible to all team members who work on this listing, but invisible to applicants.
What Locari does automatically: Nothing — there is no AI involvement in notes. Creating, editing, and deleting is done exclusively by your team. What you decide: What information to record as a note and who can edit or delete it.
Common Tasks
For notes across all entities: Notes — Overview. For applicant-specific notes: Applicant Notes.
How To
Create a note
- Open the listing — select the Notes tab.
- Click on a free area of the pinboard — a new note card appears.
- Enter a title and content. Example: "Landlord prefers family without pets — keep in mind when accepting."
- Optionally change the note card colour.
- The note is saved automatically and immediately visible to all team members.
An important difference from applicant notes: listing notes relate to the entire rental project and are visible to all team members who work on this listing — not just the creator.
Edit a note
- Click the note card on the pinboard.
- Edit the text directly in the card — changes are saved automatically.
Delete a note
- Click the note card.
- Click the delete icon (bin) — a confirmation dialog appears.
- Confirm — the note is permanently removed.
Views and Fields
Pinboard view
Notes are displayed as colour-coded cards on a free pinboard. Each card shows:
- Title (optional)
- Content of the note
- Creator — team member username
- Date of last change
- Colour — selectable for visual distinction
Cards can be freely repositioned on the pinboard. The position is saved and remains the same for all team members.
Difference from applicant notes and property notes
Listing notes are assigned to the rental case as a whole. They remain when an applicant is deleted — and disappear only when the listing itself is deleted.
Audit and History
Notes are not recorded in the History tab of the listing. Deleted notes cannot be restored.
Permissions and Multi-Select
- Visible to: all team members of the owner account with access to this listing.
- Create and edit: all members.
- Delete: all members can delete their own notes; administrators can delete all notes — the action is irreversible.
- Cross-listing notes overview: Notes — Overview — filter by entity and creator.
