Create Listing
Complete a listing in 10 steps — from address and base rent to portal booking — without filling in a single PDF.
This page walks you through Locari's creation wizard. When you finish, your listing is live on the portals you chose and Locari handles incoming applicant messages — you make the decisions.
What Locari does automatically here: Draft description texts on request, prepare images for portal previews, assign incoming applications to this listing, and send the first reply to applicants. What you decide: Accept or edit texts, choose images, select a plan, confirm payment.

How to
Phase 1 — Listing
Step 1: Property Details
- Go to Rentals → Listings and click Create Listing.
- Select an existing rental unit from the list or create a new one first.
- Enter the address, property type (apartment, house, studio, room …), and floor.
- Example: Schillerstraße 12, 50968 Cologne — apartment, 3rd floor.
Required fields: property type, street, postcode, city, country.
Step 2: Financials
- Enter base rent and security deposit.
- Optionally add utilities, heating costs, and parking fee.
- Choose availability: immediately, by arrangement, or on date (then enter a move-in date).
- Example: 850 € base rent, 2,550 € deposit, 120 € utilities, available from 1 Aug 2026.
Required fields: base rent, deposit, availability.
Step 3: Features & Energy
- Enter floor area, number of rooms, construction year, and condition.
- Click to select amenities (balcony, elevator, fitted kitchen …).
- Fill in mandatory energy certificate details (type, value, efficiency class).
Fields here are optional — the more you complete, the higher the portal quality score.
Step 4: Description Texts
- Write a listing title (shown as the headline on portals).
- Add property description, location description, and equipment text.
- AI Studio: click Open AI Studio — Locari proposes a complete listing text based on your data.
What the AI creates: Title, property and location description tailored to the address, size, and features — in the tone you set for your account. What you decide: Accept the text as-is, edit individual paragraphs, or write it yourself.
Required field: title.
Step 5: Images
- Upload photos by drag-and-drop or select from the rental unit's existing library.
- Drag to reorder — the first image becomes the cover photo.
- Crop and rotate images directly in the browser.
What Locari does automatically: Crops each image to the portal's required resolution and aspect ratio without losing the original quality. What you decide: Which photos to include and in what order.
Phase 2 — Rental Process
Step 6: Contact & AI Communication
- Enter a contact name for the listing (shown on portals and in emails).
- Choose the AI tone (modern-friendly or formal-professional).
- Optionally add a custom signature for applicant emails and a personalised opening message.
Step 7: Applicant Criteria
- Enable pre-built criteria by checkbox (e.g. minimum income, SCHUFA, employment type).
- Set thresholds — example: income at least 2,550 € (three times the base rent), SCHUFA positive.
- Assign criteria to a review phase: initial review or document review.
What the AI checks: Applicant details are automatically matched against your criteria; applicants with open items are contacted with a clarification request. What you decide: Which criteria apply and who ultimately moves in.
Step 8: Privacy Policy
- Choose a privacy policy: Locari template (recommended), custom URL, or custom PDF.
- Control which contact details are visible in the listing.
Phase 3 — Finalisation

Select your plan and duration — the price updates immediately.
Step 10: Summary & Payment
- Review all details in the summary.
- Accept the terms of service and data processing agreement.
- Click Book now — you are taken to the payment page.
- Once payment is confirmed, the listing is active and applications are processed automatically.
Draft and Resume
Locari saves your progress automatically at every step. Click Close in the wizard — the draft appears in the listings list with the status Draft. When you reopen it, you land directly at the last completed step.
Drafts with no completed payment are deleted after 30 days of inactivity.
Views and Fields
Phase 1: Property Details (Steps 1–3)
- Address: street, house number (optionally hidden), postcode, city, region, country
- Property type: apartment, house, studio, room, furnished/temporary, parking space
- Size: floor area (m²), usable area, rooms, bedrooms/bathrooms, floors, floor level
- Condition: construction year, new build, listed building, renovation state
- Amenities: balcony, terrace, garden, elevator, fitted kitchen, cellar, parking, wheelchair access, and more
- Energy: certificate type, demand/consumption value, efficiency class (A+–H), heating type, primary energy source
Phase 1: Financials (Step 2)
- Base rent (required), deposit, utilities, heating costs, parking fee
- Total utilities (calculated automatically)
- Availability: immediately / by arrangement / on date
- Lease duration: optionally fixed-term with an end date
Phase 1: Description Texts (Step 4)
- Title (required) — displayed as the listing headline on portals
- Property description — free text
- Location description — local amenities, transport, neighbourhood
- Equipment description — floors, kitchen, bathroom details
- Other information — special notes or requirements
- Virtual tour / video — optional URLs
Phase 2: Contact & AI (Step 6)
- Contact name (first and last name, required)
- Phone and mobile (optional, visibility controllable)
- Private offer / broker enquiries unwanted (toggles)
- AI tone (modern-friendly or formal-professional)
- AI signature and custom opening message
Audit and History
Every change to a listing — status changes, portal bookings, plan renewals, text edits — is logged in the listing's History tab. Each entry shows: actor (team member by name or "Locari AI"), timestamp, and affected field.
Retention: History is kept for the full listing period plus 6 months (GDPR retention period).
Permissions and Multi-select
- Create listing: all team members.
- Book a plan and complete payment: only members with billing permission — members without this permission can fill in the wizard but cannot submit it.
- Delete listing: administrators only — the action is irreversible.
- Manage multiple listings at once: Listings overview — status filters, archive function, search by address or portal.
