Consents (Listing)
Manage GDPR consents for all applicants in a listing — check status, send reminders, and revoke consents when needed.
This is the Consents tab on a listing (case level). It shows the consent status of all applicants in this listing. For the global concept and legal basis, see Consent Management — Data Privacy.
On this page you see at a glance which applicants have granted, declined, or not yet responded to a data privacy consent request. Locari sends reminders automatically — you can intervene manually and manage pending consents at any time.
What Locari does automatically: Send consent requests at the right moment, dispatch up to three reminders for pending consents, and mark consents as "Expired" after the deadline. What you decide: Trigger a manual reminder, revoke a consent, or delete an applicant record.

How To
Check consent status
- Open the listing — select the Consents tab.
- The Pending tab shows applicants without a response. Example: Müller family — requested 05 May 2026, 1 reminder already sent.
- Click a row for the detail view with timestamp, IP address, and consent text.
Send a reminder manually
- Open the row of an applicant with status Pending.
- Click the envelope icon Send reminder.
- Locari immediately sends a new consent request. A maximum of 3 reminders are allowed per applicant (the badge shows the current count, e.g. "1/3").
Revoke a consent
- Open the row of an applicant with status Granted.
- Click Revoke in the detail panel — a confirmation dialog appears.
- Confirm — status changes to Withdrawn, applicant data is processed in accordance with the GDPR deletion deadline.
Deleting an applicant via this page permanently removes their profile, documents, emails, and notes. Only administrators can delete — the action cannot be undone.
Views and Fields
Consents table
Filter tabs: All / Pending / Granted / Declined — each with a count badge.
Each row shows:
- Applicant email — and timestamp of the last status change
- Status — Pending / Granted / Declined / Withdrawn / Expired
- Requested on — date of the first consent request
- Reminders — number of reminders already sent (e.g. "2/3")
- Actions — Send reminder (Pending only) / Delete (Pending or Granted only)
Privacy policy card
At the top of the page, a card shows the privacy policy configured for this listing. Types:
- Locari template — auto-generated from your account data
- Custom URL — link to your own privacy policy page
- Custom PDF — uploaded privacy policy document
Status meanings
| Status | Meaning |
|---|---|
| Pending | Applicant has not yet responded |
| Granted | Consent has been given |
| Declined | Applicant has explicitly declined |
| Withdrawn | Consent subsequently revoked |
| Expired | Consent automatically lapsed |
Audit and History
Every status change is recorded in the History tab of the listing with actor, timestamp, and consent channel. Retention: consent records are kept until the GDPR deletion deadline of the listing.
Permissions and Multi-Select
- Visible to: all team members of the owner account.
- Send reminders: all members.
- Revoke consent: all members.
- Delete applicant record (incl. consent record): administrators only — the action is irreversible.
- Applicants across multiple listings: Applicant List — bulk rejection, filter by phase and status, sort by score.
