Property Tasks
Link tasks directly to a property — maintenance, authority deadlines, caretaker visits — and let the team check them off.
The Tasks tab shows all tasks linked directly to this property. These are building- and infrastructure-related tasks — not tasks from an ongoing rental case and not applicant-related tasks such as viewing preparation or document follow-ups. A task here applies to the entire building and persists regardless of the status of individual rentals.
Two behaviours that distinguish property tasks from applicant and listing tasks:
- Property tasks are typically tied to building management (e.g. boiler inspection, roof renovation, authority deadlines), not to an application process.
- Completed tasks can be shown again via the toggle — they do not disappear permanently from the tab.
Common Tasks
How To
Create a new task
- Open the property's Tasks tab.
- Click + Quick task — enter a title and save.
- Alternatively, click All Tasks → New Task for full fields (due date, priority, assignee).
- Example: Task "Annual boiler inspection — arrange appointment with plumber Maier", due 30 Sep 2026, priority High.
Mark a task as complete
- Click the checkbox to the left of the task — status changes to "Completed".
- The task disappears from the default view (only open tasks shown).
- Completion date and responsible team member are saved.
Show completed tasks
- Activate the Show completed toggle in the top right.
- Completed tasks appear greyed out below the open ones.
- Deactivate the toggle to return to the default view.
Switch to the global tasks overview
- Click All Tasks — opens the account-wide task list.
- There: filter by status, type, priority, due date, and assignee.
- Tasks for this property remain linked to the property.
Views and Fields
Task List
Each task shows:
- Title
- Status (pending, in progress, waiting, completed, cancelled)
- Priority (low, normal, high, urgent)
- Due date
- Assignee (team member)
- Task type (e.g. general, approval request, follow-up)
Task Types for Properties
Frequently used types at property level:
- General — open building tasks without a specific type
- Approval request — authority deadlines, building permits
- Follow-up — follow-through from maintenance reports
Comparison to tasks on other entities
Tasks at rental unit level concern individual apartments (e.g. handover, key transfer). Tasks at applicant level are tied to a specific application process. Tasks here at property level have no expiry from a rental ending — they remain active until manually completed or deleted.
Audit and History
Creating, editing, and completing tasks does not appear in the property's History tab. The History tab records only changes to property master data. For task activity logging, the global task list with filtering by completion date is available.
Permissions and Multi-select
- Visible to: all team members of the owner account.
- Create and edit: all team members.
- Mark as complete: all team members.
- Delete: all team members — the action is irreversible.
- Multi-select: not available in this tab; use the global tasks overview — filter by status, type, priority, and sort order.
Tasks at rental unit level (e.g. unit handovers) are managed in the Tasks tab of the respective rental unit.
