Property Notes
Add internal notes to a property — building condition, owner hints, maintenance observations — visible to your entire team.
The Notes tab shows all internal notes linked directly to this property. These are property-level notes — not notes on a specific applicant and not global workspace notes. A note here persists regardless of which rental units are currently let or which application processes are active.
Two behaviours that distinguish property notes from applicant and listing notes:
- Property notes survive an ownership transfer — if a property is reassigned to another account, all notes are retained.
- Property notes are visible to all team members who have access to this property — regardless of which rental case they are currently working on.

How To
Add a note
- Open the property's Notes tab.
- Click on an empty area of the canvas — a new sticky note appears.
- Enter your text, e.g.:
"Roof inspection due October 2026 — contact: Mueller Carpentry, 089 1234 5678."
- The note is saved automatically.
Edit or delete a note
- Click the sticky note — edit mode activates.
- Change the text directly; changes are saved when you leave the field.
- Delete: click the X icon on the note → confirm → note is removed.
Only the team member who created a note can delete it. All team members can read and move notes on the canvas.
Use the canvas
- Drag and drop notes to the desired position on the canvas.
- Change colour via the colour picker icon on the sticky note (e.g. red for urgent items, yellow for open questions).
- Position and colour are saved automatically and visible to all team members immediately.
Views and Fields
Canvas View
Each note shows:
- Free-text content (multi-line)
- Creator (team member name)
- Creation date
- Colour (freely selectable: yellow, green, blue, red, purple)
- Position on the canvas (freely movable)
Differences from other Notes tabs
- Notes are bound to the property, not a rental unit or applicant.
- Notes persist through ownership changes and team restructuring.
- Notes are not visible to applicants or tenants — internal only.
- Each note carries a creator stamp so the team knows who left which remark.
Audit and History
Creating and deleting notes does not appear in the property's History tab. The History tab only records changes to master data (address, type, name). If you want to log note activity, agree a convention within your team (e.g. include the date in the note text).
Permissions and Multi-select
- Visible to: all team members of the owner account with access to this property.
- Create: all team members.
- Move and change colour: all team members.
- Edit (text): only the team member who created the note.
- Delete: only the team member who created the note — the action is irreversible.
- Multi-select: not available; notes are managed individually.
