Property History
Trace every change made to a property — who changed what and when, with full timestamp and actor details.
The History tab shows a chronological list of all data changes to the property's master record — address, name, type, size, and other fields. This is the property-specific history, not the history of individual rental units and not the history of a listing or application process.
Scope: The history only captures changes to property master data from the database. Document uploads and note activity do not appear here.
Common Tasks
- Who last changed the address?
- Which fields were modified during an edit?
- When was this property created?
- How long is the history retained?
How To
Trace changes
- Open the property → select the History tab.
- Entries appear newest first; each entry shows date, time, actor, and changed fields.
- Example: Team member Schmidt changed the field "Street" from "Sample Lane 3" to "Sample Lane 5" on 10 May 2026 at 14:23.
- Multiple fields changed within one second appear as a single grouped entry.
What Locari records automatically: Every write operation on property master data is logged with timestamp, user ID, and old and new values. What you decide: The history is read-only — you can read entries but cannot edit or delete them.
Review history for a specific time period
- In the History tab, scroll down in the list to see older entries.
- Entries are sorted descending (most recent first).
- The oldest entry is always the property creation event with the original creator.
Understand a grouped entry
- Multiple fields changed in a single save operation (e.g. address and type at once) appear under one entry.
- All changed fields are listed — you see both old and new value for each field.
- Example: One entry shows "Type: residential → mixed-use" and "Area: 240 m² → 310 m²" simultaneously.
Views and Fields
Timeline Entry
Each entry shows:
- Event type (creation or data change)
- Timestamp (date and time)
- Actor: team member by name, or "System" for automated operations
- Changed fields: field name, old value, new value
Actor Types
- Team member: name of the user who made the change
- System: automated system operations (e.g. data migration, import)
Initial Creation Event
- Shows the creator (team member or system) and timestamp of property creation.
- Always appears as the last entry in the list (oldest activity).
- Contains no field changes — only creator information and creation timestamp.
Audit and History — Retention and Deletion
Retention: History entries are stored together with the property. There is no automatic deletion period for property history data as long as the property exists in the account.
On property deletion: If the property is deleted, all history entries are permanently removed along with it.
Limitations: The history is read-only. Entries cannot be reversed — it serves as an audit trail, not a restore mechanism.
Do not delete a property if you need the audit trail for review purposes. Export relevant information as a note or screenshot beforehand.
Permissions and Multi-select
- Visible to: all team members of the owner account.
- Edit history: not possible — the history is read-only.
- Delete history: only by deleting the entire property — only administrators can delete properties.
- Multi-select: not applicable (history has no selection function).
