Property Documents
Manage property-level documents — land registry extracts, floor plans, insurance policies — independently of rental units or applicants.
This page shows the property's document storage — not the documents of individual rental units and not applicant documents. Here you store building-wide files that apply to the entire property: land registry extract, building permit, insurance policy, energy certificate. Tenant or applicant documents are managed in the Documents tab of the respective rental unit or applicant.
Scope: This documents page is bound to the property. If the property is transferred to another team account, all documents are retained.

How To
Upload a document
- Open the property's Documents tab.
- Click + Document — select a file via drag-and-drop or file browser.
- Example: Upload the energy certificate (class C, issued 1 Mar 2025) as a PDF and select type "Energy Certificate".
- The document appears immediately in the current folder level.
- Multiple files can be selected — uploads run in parallel.
Create folders and organise structure
- Click New Folder — enter a name (e.g. "Insurance 2025").
- Create subfolders by navigating into a folder and clicking again.
- Move documents via drag-and-drop or the Move option in the context menu.
- Recommended structure: folders by year or category (e.g. "Building Permits", "Tax Documents 2024").
Download or preview a document
- Click a document in the table — the Preview panel opens on the right (desktop).
- Use the fullscreen icon for full-page view; click Download — generates a signed temporary URL.
- Export an entire folder as a ZIP: select folder → Download → ZIP is created locally.
- On mobile devices, a full-screen modal opens instead of the side panel.
Assign a document type after upload
- Click the document in the table.
- Click the type field in the preview panel — choose from the classification dropdown.
- Examples: land registry extract, insurance policy, building permit, energy certificate, maintenance contract.
- Changes are saved immediately; no page reload needed.
Move or delete multiple files at once
- Activate the checkboxes to the left of each entry.
- An action bar appears: Move, Copy, Export as ZIP, or Delete.
- Example: Move three insurance documents into the "Insurance 2025" folder in one step instead of three.
Views and Fields
File Explorer Table
Each entry shows:
- File name and file type (icon)
- Document type (freely selectable from classification list)
- Uploaded on (date)
- File size
- Action menu: Preview, Rename, Move, Copy, Download, Delete
Folder Navigation
- Breadcrumb path displays the current level.
- Click a folder to navigate into it; click a parent path to navigate back.
- Empty folders are included as empty directories in ZIP exports.
- Folders can be nested to any depth.
Preview Panel (Desktop)
- Opens to the right of the table when a document is clicked.
- Shows: file name, type, date, preview image (first page for PDFs, direct for images).
- Navigate between documents using the arrow buttons.
- Download button generates a time-limited signed URL.
Search Field
- The search field in the top left filters names of all visible entries in real time.
- Search applies to the current folder level only, not recursively across subfolders.
Audit and History
Uploads, renames, and deletions do not appear in the property's History tab — the History tab only records changes to property master data (address, type, name). For a complete document activity log, create a note.
Deleted documents and folders are permanently removed. There is no recycle bin.
Permissions and Multi-select
- Visible to: all team members of the owner account.
- Upload, rename, move, copy: all team members.
- Delete (individually or via multi-select): all team members — the action is irreversible.
- Multiple files: activate checkboxes in the table — bulk move, copy, export, and delete available.
For documents of individual rental units switch to the Rental Units overview — each unit has its own Documents tab.
