Locari on WhatsApp

Run Locari on the go via WhatsApp — with text and voice messages. Approve or reject applicants, coordinate viewings, add notes and tasks, request documents: all by chat, all synced into the app.

Locari is not just a dashboard in your browser — you can run the assistant entirely from WhatsApp. Send it a message or a voice message, and Locari completes the task for you and writes the result straight into your rental workflow. There is nothing new to learn: you just say, in your own words, what should happen.

As long as WhatsApp is not connected, you reach the same assistant through the web chat. To learn how to connect WhatsApp, see Channel Setup.

What Locari handles for you on WhatsApp: Evaluate applicants, approve or reject them, create and reschedule viewing appointments, capture notes, set tasks and reminders, request and send documents, communicate with applicants, and maintain contacts. What you decide: What should happen — you say it, Locari executes it, and asks for confirmation before sensitive steps (email, deletion).

Locari works across workspaces: no matter which workspace an applicant or listing lives in, you simply talk to Locari and it finds the right case. Data from different workspaces is never mixed.

How you run Locari

  1. Connect WhatsApp once under Settings → Locari Assistant (see Channel Setup).
  2. Send a message in your own words — for example "Approve the Miller family for the flat on Example Street".
  3. Locari executes the action and replies with a short confirmation. The result also appears in the app immediately.

Instead of typing, you can simply send a voice message — handy on the go or right after a viewing. Locari transcribes it and acts the same way. More under Voice Messages.

What Locari handles for you

You don't have to memorise commands — just describe what you need. Here is an overview of what you can trigger via WhatsApp:

  • Get an overview: "What's new?" or "What's the status on the flat on Station Road?" — Locari summarises the current state for you.
  • Applicants: approve or reject, evaluate an applicant, or have a short briefing prepared ("Summarise Ms. Smith's application"). More under Applicant List and Making Decisions.
  • Viewings: create, reschedule or cancel appointments, send invitations, capture feedback after a viewing. More under Viewings.
  • Notes: "Note on Mr. Weber: seemed very interested, wants to move in early July" — the note lands directly on the applicant. More under Notes.
  • Tasks and reminders: "Remind me tomorrow morning to check the Klein family's credit report." More under Tasks and Reminders.
  • Documents: request a missing document from an applicant, file an incoming document, or send a document. More under Document Verification.
  • Applicant communication: tell an applicant something or have a question asked ("Ask Mr. Meier whether 6 pm works for the viewing"). More under Emails to Applicants and Clarifications.
  • Contacts: create or update service providers and owners in the Contacts directory.

What Locari does: Understand your message, find the right case in the right workspace, and execute the action — from an applicant approval to a voice note after a viewing. What you decide: What should happen. For emails, rejections and deletions, Locari asks for your explicit confirmation first.

Notes

You don't build listings on WhatsApp

Creating a new listing — adding the property, writing texts, uploading images, defining applicant criteria and exporting to portals — is not done via WhatsApp. That is a guided flow you complete in the web app or through the AI connection (MCP), where an AI assistant walks you through the entire listing step by step.

WhatsApp is for day-to-day operation: applicants, viewings, notes, tasks, documents and communication. For AI-assisted listing creation, see Listings and the AI Connection (MCP).

Everything syncs into the app

Every action you trigger via WhatsApp is stored in Locari exactly like an entry in the browser: notes appear on the case, approvals and rejections in the applicant status, tasks in your task list. You and your team see the same state — whether you are at your desk or on the move.
