Emails

Read all emails with an applicant in chronological order, reply manually, and control whether Locari continues the conversation.

This is the Emails tab on the applicant detail view. It shows only messages belonging to this applicant — inbound and outbound. For the full inbox across all applicants see Inbox.

On this tab you see the complete email communication with the applicant in chronological order. A badge shows unread messages. Locari answers standard enquiries automatically; complex or unclear messages appear as unread in your view.

What Locari does automatically: Evaluate incoming emails, respond autonomously to standard enquiries about viewings, availability, and documents, and compose replies in your team's tone and style. What you decide: When to reply manually, whether Locari should continue after your reply, and whether a message is marked as read.

How To

Read messages

  1. Open the Emails tab — the most recent message appears at the top.
  2. Click a message card for the full text, HTML rendering, and attachments.
  3. Unread messages are highlighted; the badge shows the count.

Reply manually

  1. Open the desired message → click Reply.
  2. Enter your text — Locari reads your reply and adapts future messages to match your style.
  3. Choose whether Locari should continue the communication afterwards.

Example: Applicant Müller asks to reschedule an appointment. You reply manually. Locari picks up the new date and confirms it automatically in the next contact.

What Locari does with your reply: Store your manually sent reply as a style signal and adapt future automatic messages accordingly. What you decide: Whether Locari continues the conversation afterwards or whether you reply manually again for the next message.

Mark a message as read

  1. Open the three-dot menu on the message card.
  2. Click Mark as read — the badge count decreases.
  3. The email is fully retained — the mark only affects the counter.

Understand email type and priority

Every email has a type and a priority assigned automatically by Locari:

  • Type: application / enquiry / viewing request / general / system
  • Priority: normal / high / low

Messages with high priority or an unresolved request appear unread and with a badge.

Views and Fields

Message list

Visible per email:

  • Sender name and email address
  • Subject and received or sent time
  • Direction: inbound (from applicant) / outbound (from Locari or you)
  • Email type (application, enquiry, viewing, general, system)
  • Priority (normal / high)
  • Attachment count
  • Processing status: received / processed / parsed / archived

Full-text view

  • Complete HTML content or plaintext
  • Reply button
  • Sender chip with link to the applicant profile

Good to know

  • Emails cannot be deleted — retention follows the GDPR period for the applicant. Deleting the applicant permanently removes all associated emails.
  • For overarching email management switch to the Inbox — filter by channel, status, and priority.
