The Tasks section gives you a single view of everything that needs to get done — whether Locari created a clarification task automatically or you added a maintenance item yourself. All open items, sorted by priority, at a glance.
What Locari does automatically: Creates tasks for clarifications, document requests, and last-minute appointment changes whenever an applicant chat requires action. What you decide: Adjust priority, assign the task to a team member, mark it done, or delete it.

How to
Create a task
- Click Create task in the top-right corner.
- Choose a title, type (e.g. Repair), and priority — optionally set a due date.
- Under Links, select the affected property or rental unit, e.g. "Sample Street 4, Apt. 2".
- Save — the task appears in the list immediately.
Example: Stefan creates a task "Kitchen tap dripping" (Type: Repair, Priority: High, due Fri 16 May) for the Müller flat.
What Locari does automatically: For applicant clarifications or last-minute appointment changes, Locari creates the task itself — including priority and applicant context. What you decide: Adjust the due date, assign the task to a team member, or clarify the title.
Assign a task
- Click a task in the list to open the detail view.
- In the three-dot menu at the top right, choose Assign.
- In the dialog, switch assignment to Specific person and pick one or more team members — they see the task immediately in their filtered view.
Complete a task
- Click a task in the list to open it.
- Click Complete and confirm the prompt.
- The task moves to Completed status and counts towards "completed this week" in the Analytics view.
For approval tasks (e.g. Approval request or Last-minute reschedule) the buttons are Approve and Reject instead of Complete.
Filter and search
Use the filter bar to narrow down by Status, Type, Priority, and free text simultaneously. The list is sorted automatically: urgent tasks first, then by due date.
Views and Fields
Task list
Each row in the list view shows:
- Task title (with description and due date as a subtitle, red when overdue)
- Type (e.g. Repair, Clarification, Move-in)
- Status: Pending / In Progress / Waiting / Completed / Cancelled
- Priority: Low / Normal / High / Urgent
- Linked entities (as clickable chips)
- Created (relative time)
Stats tiles
Above the list, coloured tiles give you an at-a-glance summary:
- Open — active tasks (Pending + In Progress + Waiting)
- Urgent — tasks with High or Urgent priority (only when present)
- Overdue — tasks past their due date (only when present)
- This week — tasks completed this week
Analytics view
The toggle at the top right of the filter bar switches from the list to the Analytics view. It covers the last 30 days:
- Tasks completed over time (bar chart)
- Distribution by type and by priority
- Team performance: who completed how many tasks
- Key figures: completed, open, overdue, average completion time
Audit and History
Every status change for a task (created, assigned, completed, deleted) is stored with a timestamp and the actor. For tasks created automatically by Locari, the actor is "Locari AI".
Retention: Completed and cancelled tasks remain visible permanently (show them via the status filter). Deleted tasks are removed permanently.
Note: Do not delete tasks that may serve as evidence for completed inspections or maintenance. Mark finished tasks as complete instead.
