Reminders make sure you are alerted at the right moment for a rental case, an applicant or a task. You can create reminders as one-time events or on a recurring schedule, and choose whether the notification is delivered via chat or email.
What Locari does automatically: For recurring reminders, Locari pre-computes the next trigger time based on the schedule. AI-driven scheduled actions can be created directly via the chatbot — e.g. "Remind me tomorrow at 14:00 about the Miller family." What you decide: When and for whom the reminder applies, which channel to use, and whether to pause or cancel it.

How to
Create a one-time reminder
- Open Reminders → click New reminder.
- Enter a title, e.g. "Follow up with Miller family — submit SCHUFA (German credit report)".
- Select type Once, set date and time (e.g. 20 May 2026, 09:00).
- Choose notification channel: Chat or Email.
- Assignment: Me (personal) or Whole team.
- Click Create — the reminder appears in the list with status "Active".
Set up a recurring reminder
- Reminders → New reminder, select type Recurring.
- Set the frequency: Daily / Weekdays / Weekly / Monthly.
- Set the time (e.g. 08:00); for weekly, choose the days (e.g. Monday).
- Example preview: "Every Monday at 08:00" — shown below the form.
- Confirm channel and assignment, then Create.
What the AI calculates: The next trigger time based on the schedule — even after a pause, this is recalculated automatically. What you do: Adjust the schedule or pause the reminder when circumstances change.
Pause and resume a reminder
- Find the reminder in the table.
- Click the pause icon — status changes to "Paused" and the next trigger is frozen.
- Click the play icon to resume — the next trigger is recalculated.
Cancel a reminder
- Dropdown (three dots) → select Cancel.
- A confirmation dialog appears: "Cancel this reminder?"
- Confirm — the reminder changes to status "Cancelled" and will no longer trigger.
Cancelled reminders cannot be reactivated. Create a new one instead.
Scheduled AI actions
Below the reminders table, a Scheduled Actions section appears when Locari has scheduled actions via the chatbot (e.g. "Remind applicant Miller at 14:00"). Pending actions can be cancelled from here.
What the AI does: Locari schedules actions based on your chat instructions and executes them at the agreed time — either directly (direct mode) or AI-driven (prompt mode). What you do: Cancel scheduled actions before they trigger if requirements have changed.

Reminders table
Filter and search bar with:
- Search — title or description
- Status filter — All / Active / Paused / Completed / Cancelled

Table columns:
- Title — reminder name, assignment icon (single person = me, group = team), description and next trigger time
- Schedule — badge "Once" or "Recurring"

Reminder fields (when creating)
- Title — required, max. 255 characters
- Description — optional, free text
- Type — Once or Recurring
- Date and time — required for Once
- Frequency — Daily, Weekdays (Mon–Fri), Weekly, Monthly (for Recurring)
- Time — hour (0–23), minute (0, 15, 30, 45)
- Weekdays — selectable for weekly frequency
- Day of month — 1–28 for monthly frequency
- Notification via — Chat or Email
- Assignment — Me or Whole team
- Timezone — default: Europe/Berlin
Audit and History
Reminders do not have a separate history tab. Visible per entry are:
- Created at and Updated at
- Next trigger in the table column
- Last triggered — stored internally, visible in the Scheduled Actions section where relevant
Retention: Cancelled and completed reminders remain visible in the list (status "Cancelled" / "Completed") but are no longer triggered. They are removed when the account itself is deleted.
Visibility
Personal reminders (assignment "Me") are visible only to you. Team reminders are visible to your whole team. Editing, pausing and cancelling can be done across the team. Reminders are managed individually — you cannot edit several at once.
