Rental Units

Rentals for a Rental Unit

See all past and current tenancies for a single unit at a glance — with status, rent amount, and availability date.

The Rentals tab lists all rental cases ever created for this unit — from the first listing to the current tenancy. A unit can go through several consecutive rental cases, for example after a change of tenant. Each entry is a complete rental case with its own status, listing, and applicant history.

What Locari does automatically: Nothing — rental cases are created manually when you set up a listing for this unit. Locari assigns them to this unit automatically. What you do: Create rental cases, open them, and track their status.

Common Tasks

  • Create a rental case for this unit
  • Open an existing rental case
  • Check the status of a rental case
  • Overview of all listings for this unit

For all rental cases across all units: Listings — filter by status, search by unit.

How to

Create a Rental Case

  1. Open the rental unit and click the Rentals tab.
  2. Click + Rental case (top right in the card).
  3. You are taken to the rental case creation page — the unit is already pre-filled.
  4. Enter the rent, availability date, and other details, then save.

Example: New listing for unit "Ground Floor Left" after the Weber family's move-out — net rent 920 €, available from 01/08/2026.

Open a Rental Case

Click any row in the list — you are taken directly to the rental case detail page, where you can manage the listing, applicants, and communication.

Views and Fields

Rental Case Card (List)

Each entry shows:

  • Title of the rental case (or address if no title is set)
  • Net rent (e.g. "920.00 €")
  • Available from (date, e.g. "01/08/2026")
  • Status badge (Draft / Active / Completed / Archived)

Click a row to open the full rental case.

Empty State

No rental case created yet: the card shows a placeholder icon and a note that no rental cases exist. The + Rental case button remains visible.

Status Overview

Possible status values for a rental case:

  • Draft — not yet published
  • Active — listing live, applications possible
  • Completed — tenant selected, tenancy started
  • Archived — rental case ended and archived

Audit and History

Each rental case maintains its own history on its detail page. For the change history of the unit itself: History.

Retention note: Completed or archived rental cases remain in the system. Deleting a rental case removes all linked applicant data — this is subject to GDPR retention periods and cannot be undone.

Permissions and Multi-select

  • Visible to: all team members of the owner account.
  • Create a rental case: all team members.
  • Delete a rental case: only administrators — the action is irreversible and removes all linked data.
  • For listings of this unit: Listings — filter by status, search by unit, multi-select.
