You create a new rental unit using the wizard — from property assignment to energy data. The required fields are limited to property, unit type, and name; all other details can be added later.
Prerequisite: Before creating a rental unit, the corresponding property must already exist in the system. If not, create it first under Properties.

How to
Create a new rental unit
- Open the property under Properties and switch to the Rental Units tab.
- Click Create Rental Unit.
- Follow the 6-step wizard.
Step 1 — Property and unit type
Select:
- Property: which property this unit belongs to — e.g., "5 Sample Street, Berlin"
- Unit type: apartment, house, studio, room, shared room, furnished/temporary, or parking
Step 2 — Basic data and size
- Unit name (required): e.g., "Apartment 2A" or "Ground floor left"
- Unit number (optional): e.g., "2A"
- Living space (m²): total area including all rooms — e.g., 78.50 m²
- Usable area (m², optional): excluding balconies and cellar — e.g., 72.00 m²
Step 3 — Rooms and floor plan
- Number of rooms: total room count — e.g., 3.5
- Bedrooms: count — e.g., 2
- Bathrooms: count — e.g., 1
- Floor level (optional): basement, ground floor, 1st floor up to 5th floor or higher
Step 4 — Amenities (optional)
Select all that apply:
- Balcony, terrace, garden
- Elevator, cellar, fitted kitchen
- Parking, garage, wheelchair accessible
- Guest toilet, internet, alarm system, sauna, pool, air conditioning and more
Flooring: parquet, tiles, laminate, carpet, vinyl, stone, concrete
Step 5 — Energy and heating (optional)
- Heating type: stove, central heating, floor heating, district heating
- Energy certificate type: demand or consumption certificate
- Energy efficiency class: A++ to H
- Primary energy source: gas, oil, geothermal, district heating, solar, wood pellets, electricity, coal
- Valid until (date)
Step 6 — Parking (optional)
- Garages
- Outdoor parking spots
- Underground parking spots
- Carports
Auto-read energy data
In the edit mode of an already created unit, you can upload an energy certificate document in the Energy and Heating section.
What Locari automatically does: The document is analysed and values such as energy efficiency class, heating type, primary energy source, issue date, and valid-until date are automatically filled into the form. What you decide: Review the extracted values and correct them if needed before saving.
Edit rental unit
- Open the rental unit.
- Click the pencil icon (top right) to enter Edit mode.
- Change the desired fields.
- Click Save — the change appears immediately in the history.
All fields are editable at any time, except the property assignment after creation.

History and Changes
Every change to the rental unit is recorded under the History tab — with actor, timestamp, and the field that changed. Recording starts with creation ("Rental unit created") and is retained as long as the unit exists in the system.
Deleting a rental unit permanently removes master data, history, and linked documents. Create an export or note before deleting if you need to retain any information.
After Creation
The rental unit is created and ready for the rental process:
- Open the unit's Rentals tab and click + Rental case (Rentals) — the unit is pre-selected; there you set rent amount, deposit, and lease terms.
- Define Criteria for applicants (Criteria).
- Activate AI Communication (AI Communication).
