Rental Units

Rental Unit History

Track every change to a rental unit without gaps — who changed what and when, including automatic system entries.

The History tab shows the complete change log for a rental unit. Every field change, status transition, and system action is recorded automatically — with the actor, timestamp, and old and new values. The "Rental unit created" entry marks the beginning of the log.

What Locari does automatically: Record every data change to the rental unit — regardless of whether you, a team member, or a system routine triggered it. What you do: Read the history and use it as evidence when needed. Entries cannot be edited or deleted.

How to

Reading the History

  1. Open the rental unit → click the History tab.
  2. The log is sorted newest first.
  3. Each entry shows: actor, timestamp, changed fields with old and new values.
  4. Simultaneous changes to multiple fields (within one second, same user) are grouped into a single entry.

Example: On 03/06/2026 at 14:22, "Anna Miller" changed the net rent from 750 € to 800 € — this appears as a single history entry.

Actor and Source

Each entry identifies an actor:

  • Team member (by name): manual input via the interface
  • System: automatic action (e.g. status update after activation)
  • Rental unit created: creation event with date and user if traceable

The source ("Manual entry" / "System") is shown alongside the actor.

Views and Fields

Timeline View

Each history entry shows:

  • Timestamp (date and time)
  • Actor (team member name or "System")
  • Changed fields (per field: old value → new value)
  • Source of the change

Creation Entry

At the bottom of the log: "Rental unit created" — with the date and the user who created the unit (where traceable).

Empty State

If no changes have been made yet, the page shows: "No changes — changes to this rental unit will appear here."

Audit and History

The history is available for the entire lifetime of the rental unit. The following rules apply:

  • Retention: History entries are retained for as long as the rental unit exists in the system.
  • When the rental unit is deleted: The entire history is removed permanently.
  • Entries are immutable: No team member — including administrators — can edit or individually delete history entries.

Do not delete a rental unit while active or ongoing tenancies are linked to it — the audit trail will be lost and can no longer be used as legal evidence.

Permissions and Multi-select

  • Visible to: all team members of the owner account.
  • Edit or delete entries: not possible for anyone — the history is read-only.
  • Delete the rental unit (and thereby its history): only administrators — the action is irreversible.
