Rental Unit Documents

Store, organise, and download all documents for a single rental unit — move-in protocols, signed contracts, and more in one place.

On this page you manage all documents that belong directly to a single rental unit. Unlike the Property DMS — which holds top-level files such as land registry extracts or insurance policies — you will find unit-specific documents here: move-in and move-out protocols, tenant-signed contracts, and unit-level certificates.

What Locari does automatically: Nothing — this document archive is entirely manual. You decide what is uploaded, organised, and deleted. What you do: Upload documents, organise them in folders, classify them, and export as ZIP when needed.

How to

Upload a Document

  1. Open the rental unit and click the Documents tab.
  2. Click Add document — a dialog opens.
  3. Select file(s) or drag and drop them in.
  4. Optionally choose a target folder and document type.
  5. Confirm the upload — the file appears in the table immediately.

Example: Move-in protocol dated 01/06/2026 for unit "2nd floor right" (Miller family) — upload PDF, select type "Move-in Protocol", store in folder "Move-in 2026".

Create Folders

  1. Click Create folder (top left, next to the search bar).
  2. Enter a name and optional description.
  3. The folder appears immediately in the file explorer.

Folders can be nested. Navigate using the breadcrumb bar above the table.

Classification

Click a file and select the document type from the list in the preview panel on the right. This allows you to filter files by type later.

Typical document types at this level:

  • Move-in protocol
  • Move-out protocol
  • Signed tenancy agreement
  • Deposit confirmation
  • Repair certificate

Views and Fields

File Explorer Table

Each row shows:

  • Name (clickable — opens preview on the right)
  • Type (folder or document, with classification badge)
  • Uploaded on (date)
  • Actions menu (rename, move, copy, download, delete)

Preview Panel (Desktop)

Opens to the right of the table when you click a file:

  • Preview (PDF, image)
  • Change document type
  • Download button
  • Fullscreen mode button

Search Bar

  • Free-text search by filename
  • Searches the currently open folder

Download and Export

  • Single file: Actions menu → Download (direct file download)
  • Folder: Actions menu → Download — the entire folder content is packaged as a ZIP file
  • Multiple files / folders: Check the checkboxes → Export — creates a dated ZIP file

Multi-select

All documents and folders can be selected with checkboxes:

  • Delete: remove all selected items after confirmation — this action is irreversible
  • Move: move to another folder within this unit
  • Copy: duplicate into another folder
  • Export: download as a ZIP file

Drag and drop directly in the table moves files and folders without a dialog.

Audit and History

The Documents tab does not have its own change history. General changes to the rental unit (status changes, field edits) are visible in the History tab.

Deleted documents are removed permanently. Back up legally relevant files (e.g. signed tenancy agreements) locally before deleting.

Permissions and Multi-select

  • Visible to: all team members of the owner account.
  • Upload, rename, move, copy: all team members.
  • Delete (files and folders): only administrators — the action is irreversible.
  • For property-level documents: Property Documents.
