History (Listing)

Trace every change to a listing without gaps — who changed what, when, including AI actions and team interventions.

This is the History tab on a listing (case level). It documents all data changes to the listing itself — status transitions, field edits, AI actions, and team interventions. For the history of a single applicant, see Applicant Details — History.

On this page you see a complete, chronological record of all events for this listing — from creation to the current state. Every entry shows who acted, what was changed, and when.

What Locari automatically records: All field changes to the listing (title, base rent, status, criteria), AI-initiated status transitions, and automatic actions such as creating applicant records. What you decide: Nothing — the history is read-only. It serves exclusively as an audit trail.

How To

Retrieve listing history

  1. Open the listing — select the History tab.
  2. The timeline shows entries in reverse order (most recent first).
  3. Example: "15 May 2026, 10:32 — Lars Meier changed base rent from 850 € to 880 €."
  4. Expand an entry to see the old and new value of the changed field.

Read grouped changes

Changes made within one second by the same person are grouped into a single entry — for example when base rent and move-in date were changed simultaneously for the Musterstraße 12 listing.

Views and Fields

Timeline entries

Each entry shows:

  • Actor — team member (by name) or "Locari AI" or "System"
  • Timestamp — date and time of the change
  • Changed field — e.g. "Base rent", "Status", "Title"
  • Old value → New value — concrete before/after comparison
  • Source — Manual entry / AI assistant / Applicant / System

Initial creation entry

At the bottom of the timeline there is always the listing creation entry with the creator and date.

Audit and History

Retention: The history is kept after the listing is closed and retained in accordance with GDPR requirements. The exact period depends on your account's data privacy settings.

Important: The listing history records only changes to listing fields — not the histories of individual applicants. Applicant histories are found in Applicant Details.

Deleting a draft permanently removes the entire history. Only administrators can delete — this action cannot be undone.

Permissions and Multi-Select

  • Visible to: all team members of the owner account.
  • Edit history: not possible — the history is read-only.
  • Delete listing (removes the history): administrators only — the action is irreversible.
  • Applicant history across all listings: Applicant List — bulk rejection, filter by phase and status, sort by score.
