Emails (Listing)

View the complete email communication for a listing, reply to messages, and keep the AI-managed inbox in view.

This is the Emails tab on a listing (case level). It shows all emails received or sent via the dedicated listing address. For the email view of a single applicant, see Applicant Details — Emails.

On this page you see the complete email inbox of your listing — incoming applications, Locari AI auto-replies, and your own messages — in chronological order, grouped by thread. A real-time badge shows unread messages.

What Locari does automatically: Route incoming emails to the correct listing, create applicant records, and send standard replies (acknowledgements, appointment confirmations, clarification requests) in your style. What you decide: Compose manual replies, adjust the AI tone, and block or unblock senders.

How To

Read messages and reply

  1. Open the listing — select the Emails tab.
  2. Click the desired message or thread in the list — the full text appears on the right.
  3. Click Reply, compose your text, and click Send.
  4. Example: The Müller family asks about the basement — you reply with details. Locari reads your reply and adapts future messages accordingly.

What Locari answers automatically: Standard enquiries about availability, viewings, and documents — in the tone and style you have established. When it comes to you: When the request is unclear or concerns topics outside the application, the message appears as unread.

Compose a new email

  1. Click + New email.
  2. Enter the recipient address (or choose from existing applicants), compose subject and body.
  3. Click Send — the email is sent from the listing address.

Block a sender

  1. Open an email from the unwanted sender.
  2. Use Actions → Block sender — a confirmation dialog appears.
  3. After confirmation, the sender appears under Blocked Senders.

Views and Fields

Email list

Each row shows:

  • Sender / recipient and preview of the first line
  • Timestamp of the latest message in the thread
  • Type — Application / Enquiry / Viewing request / System / General
  • Processing status — Received / Parsed / Processed / Failed
  • Unread badge for new messages
  • Attachment count and priority (Low / Normal / High)

Filter options:

  • Type: All / Application / Enquiry / Viewing / System
  • Read / Unread
  • Portal source (e.g. ImmobilienScout24, Kleinanzeigen)
  • Text search by subject or sender

Statistics cards (top area)

Live counters for:

  • Total emails
  • Unread messages
  • Inbound / Outbound
  • Failed processing

Blocked emails (lower area)

Emails from blocked senders appear in a separate section with an unblock option — not in the main inbox.

Audit and History

Every inbound and outbound email is recorded in the History tab of the listing. Emails are retained until the GDPR deletion deadline of the listing. Deleting the listing permanently removes all emails.

Permissions and Multi-Select

  • Visible to: all team members of the owner account.
  • Read and reply to emails: all members.
  • Block senders: all members.
  • Delete listing (removes all emails): administrators only — the action is irreversible.
  • Cross-listing inbox: Inbox — all listings, filter by type and status.
