Complete letting ends the search: Locari writes nothing on its own any more, the listings disappear, and you decide who gets a rejection and when data is deleted. Until a cut-off date you can Reactivate.
What Locari does here: Show the consequences with names and numbers before the click, then send appointment cancellations, chosen rejections and calendar cancellations and delete listings. What you decide: The reason, the rejection of the other applicants and the time of deletion. Nothing is preselected.

How to
Complete after signing
This works when viewings are running or paused, or when the flat is reserved or approved.
- After an approval, the button Complete letting is in the header of the letting, otherwise in the "…" menu. By WhatsApp, for example "The contract with Ms Berger is signed".
- After the approval Locari already knows who the flat is let to and does not ask again.
- You choose the rejection and the deletion (see below). The preview names the consequences with names and numbers.
Example: You approved Ms Berger, the contract is signed. 9 applicants are still open, 3 have an appointment. You choose Rejection now and After 90 days. The 3 appointments are cancelled, the 9 receive "The flat has been let in the meantime."
Complete without an approval
- Locari asks "Why are you completing?" with two answers: Let to someone else (for example outside Locari) or No longer letting.
- The rejection texts are "The flat has been let in the meantime." and "The flat is no longer being let." Nobody learns to whom it was let.
- If you had only reserved someone and complete otherwise, that person immediately receives "The reservation for the flat unfortunately no longer exists." with the rejection text and can no longer be selected. If you want to let to them, approve them first.
Choose rejection and deletion
- Rejection of the other open applicants: Rejection now, Rejection at the end (with date) or No rejection.
- Delete the data of the other applicants: After 90 days (counted from the end of the grace period) or Immediately. Immediately only works with rejection now or no rejection.
- Locari points out that under the AGG applicants can assert claims within two months and that you have no documents left if you delete immediately.
Applicants in manual review and applicants who withdrew do not receive a rejection. You can reject applicants in manual review individually, with the same rejection sentence.
What Locari does here: From the click no more follow-ups, invitations, reminders or questions. Whoever writes receives a fixed short reply once. The person who gets the flat receives none, their messages reach you as a notification. What you decide: Individual rejections, which you can still send, and the replies to the person with the approval. Information and deletion requests under GDPR always go through.
The consequences at a glance:
- Appointments of the other applicants are cancelled immediately with an appointment cancellation and a calendar cancellation. An appointment of the person with the approval stays with reminders.
- Listings are deleted, future free appointments removed.
- The state is Completed · reactivatable until [date], afterwards Completed.
- All applicant data except that of the person who gets the flat is deleted as you chose. Nobody receives a message for that.
Reactivate if the contract falls through
- In the "…" menu in the header of the letting or in the card Term on the overview choose Reactivate. By WhatsApp, for example "The contract fell through, I'm continuing the search".
- This works until the date shown, at most 14 days and only until the end of your paid term. For immediately deleted data it no longer works.
- Viewings run again. An approval no longer applies, the person receives "Unfortunately I cannot let you the flat after all." Listings are online again immediately, without a banner.
When completing, all future free appointments were removed. You create new ones and choose Everyone waiting so that Locari invites them. Until then you have an appointment request. Whoever already has a rejection stays rejected. Planned rejections "at the end" no longer go out. The preview shows how many already have a rejection and how many records are already deleted.
What happens when the term ends
If your paid term ends or a payment is missing, the letting enters a 14-day grace period. Unlike after completing, Locari then continues normally and rejects nobody on its own. Only the listings go offline. Locari cancels appointments after the end 1 to 2 days beforehand, with the reason "The letting is ending." and a calendar cancellation. If you renew, everything continues (see Renewal).

Audit and History
Completion, chosen rejection, deletion choice and reactivation are in the letting's history with actor and time.
Retention: Applicant data is deleted as you chose, 90 days after the end of the grace period or immediately. The data of the person who gets the flat stays.
Immediately deleted applicant data cannot be restored, and reactivating no longer works for those applicants. After the cut-off date, completed is final.
Permissions and Multi-select
- Complete and reactivate: Team members who may edit the letting. Approval comes only with your tap, identically in the app, by WhatsApp and via MCP.
- Individual rejections after completion: Still possible, individually and with the same rejection sentence. Bulk actions for many applicants exist only in the Applicant List — reject after selecting, filter by phase and status.
