With Pause viewings, Locari gives out no new appointments. The search continues, applications keep arriving. With Activate viewings, waiting applicants are invited to appointments again.
What Locari does here: Cancel the booked appointments at the pause (if you choose so), lead new applicants through the pre-selection and invite the waiting applicants when you activate. What you decide: Whether booked appointments stay or are cancelled, whether a reason goes into the cancellation, and when viewings continue. Nothing ever resumes automatically.

How to
Pause viewings
This works when viewings are running.
- In the Viewings tab of the letting tap Pause viewings. By WhatsApp you say it in your own words, for example "Stop the viewings, I'm on holiday". Via MCP it works the same.
- Choose whether booked appointments stay or are cancelled, and optionally give a reason. If there are no booked appointments, the question is skipped. Before the click you see who is affected.
- With the tap on the button the pause applies. The state is now Viewings paused.
Example: You go on holiday for a week. The Müller family booked Saturday at 11:00, 12 applicants are waiting. You choose stay for the Müller family. The appointment takes place, the 12 waiting applicants hear nothing.
What Locari does here: With cancelled, send an appointment cancellation with your reason and then let the applicant wait. What you decide: Stay or cancelled, the reason and the time.
Activate viewings
This works when viewings are paused.
- In the Viewings tab tap Activate viewings. By WhatsApp, for example "Viewings can start again".
- Beforehand you see how many applicants are offered an appointment and whether there are enough free appointments.
- Waiting applicants receive the normal invitation with appointments: first those whose appointment was cancelled, then by waiting time. If there are no free appointments, they hear nothing. Then you have an appointment request, and Locari tells you how many applicants are waiting.
During a reservation or an approval, activating does not work. There you first choose Cancel reservation or Take back approval and then Continue viewings (see Making Decisions).
What applicants experience during the pause
- Applicants with a booked appointment come as planned if you chose stay. With cancelled they receive an appointment cancellation with your reason and then wait.
- Waiting applicants receive no invitation and no message. If someone writes, Locari answers: "No viewings are currently planned; your application remains."
- New applicants go through the pre-selection normally. Whoever passes it quietly joins the waiting applicants.
New free appointments are saved during the pause and invite nobody. Listings stay online. You take them offline via Deactivate listings.
Reminders during the pause
The pause has no end, it ends only through you. Locari reminds you via the task list after 1, 3 and 7 days with number and names, for example "12 applicants have been waiting for 3 days during the pause. Continue viewings?" After that the task stays open. Applicants receive no email.

Audit and History
Pause and activation are in the letting's history with actor and time. Appointment cancellations from the pause are in the history of each affected person.
Retention: The history stays until the applicant data is deleted after completion (90 days after the end of the grace period or immediately, your choice).
With cancelled, the appointment cancellations go out immediately and cannot be taken back. Activating does not rebook anyone, the applicants have to book again.
Permissions and Multi-select
- Pause and activate: Team members who may edit the letting. Anyone with read-only access cannot change anything.
- Approval: In the app, by WhatsApp and via MCP only after your tap on the button.
- Several lettings: Each letting is paused individually.
- See the waiting applicants: In the Applicant List you see all waiting applicants — filter by phase and status, invite, reject.
