Locari's Knowledge

Show Locari what it should know about your properties and applicants — and correct or delete entries with one click before they influence the next response.

In Locari's Knowledge, Locari stores what it has learned about your properties, listings, and applicants during each interaction. This prevents it from asking the same question twice and enables more precise responses. You can view the knowledge at any time, correct individual entries, or delete them — Locari only forgets what you tell it to forget.

What Locari does automatically: Store facts from conversations, clarifications, and your manual replies — organized by category (e.g. pet policies, parking situation, style preferences). What you decide: Which entries remain and which are corrected or deleted.

You open it from the relevant profile via the Locari's Knowledge button (brain icon). For an applicant, you'll find it in the More options menu (three-dots icon in the top right).

How Locari's Knowledge builds up

You don't have to fill the knowledge actively — it forms on its own while Locari works. With every interaction (chat with you, email processing, applicant conversation), Locari records new, confirmed facts as an entry. Each entry consists of a category, key, and value and is assigned to exactly the entity it concerns — property, listing/rental case, rental unit, applicant, or contact.

What Locari learns automatically: e.g. "desired move-in July 1st", "parking space available", "family prefers short emails". When saving, Locari checks whether the identical value already exists — duplicates are skipped to keep the memory clean. What you influence: Whether a learned fact stays. You correct or delete it at any time with one click.

When saving, Locari distinguishes three operations, which you'll also find in the edit view:

  • Set (set) — replaces the existing value of a key.
  • Append (append) — adds a value to a list (e.g. another required amenity) without overwriting what's there.
  • Remove (remove) — takes a single value out of a list.

Applicant preferences follow the applicant

If Locari learns a scheduling preference in the applicant conversation (e.g. "weekends only", "Tuesdays never work", "elevator needed"), it is stored on the applicant — not on the individual rental case. This way Locari respects the preference even when the same applicant is considered for another property, and suggests viewing slots accordingly.

What Locari uses automatically: Stored scheduling preferences feed directly into the selection of suggested viewing slots. What you decide: If a preference no longer applies, open Locari's Knowledge on the applicant and correct or delete the entry.

How to actively influence the knowledge

You control what stays — via three actions in the Locari's Knowledge window:

  • Correct (pencil icon) — adjust the value of an entry. Locari uses the corrected value from the next interaction onwards.
  • Delete (trash icon) — remove a single entry. Locari then treats the topic as unknown and asks again if needed.
  • Clear all — irreversibly empty the entire knowledge store of this entity.

Knowledge entries always apply to one specific entity — a property, listing, rental unit, applicant, or contact — not globally. For account-wide communication rules, use AI Communication.

How to

View Locari's Knowledge

  1. Open the applicant, property, or listing profile.
  2. Click Locari's Knowledge (brain icon). For an applicant, the entry is in the More options menu (three-dots icon in the top right).
  3. The window shows all stored facts, grouped by category — for example:
    • Pet policies: "Small cats allowed, prior discussion required"
    • Style preference: "The Müller family prefers short, factual emails"

What Locari stores: Details from clarifications, corrections from your manual replies, applicant preferences (e.g. desired move-in date of July 1st). What you do: Check whether stored facts are still accurate.

Correct a Fact

  1. Open Locari's Knowledge → find the entry you want to change.
  2. Click the pencil icon — the value becomes editable.
  3. Enter the new value and click Save.
  4. Example: Correct the entry "Income: 2,400 €" to "Income: 2,800 € (salary increase confirmed)".

Locari uses the corrected value from the next interaction onwards.

Delete an Entry

  1. Open Locari's Knowledge → find the entry.
  2. Click the trash icon → confirm deletion in the confirmation dialog.
  3. Example: Remove the outdated entry "Viewing on May 3rd" after the appointment was cancelled.

Note: A deleted entry cannot be restored. Locari treats that area as unknown after deletion and will ask again if needed.

Reset all knowledge

At the bottom of the Locari's Knowledge window is the Clear all button. It empties the entire knowledge store of this entity at once.

Note: "Clear all" removes all of this entity's facts irreversibly. Locari then starts again from scratch and re-asks for needed information.

Views and Fields

Visible per stored entry:

  • Key — name of the fact (e.g. pets, parking_space, move_in_date)
  • Category — e.g. amenities, location, policies, utilities, general
  • Value — the stored content; can be text, number, list, or yes/no
  • Timestamp — date and time the fact was last learned

Each entry has two buttons on the right: the pencil icon (correct) and the trash icon (delete). At the very bottom is Clear all.

Entity Types

Locari's Knowledge is available for these entities:

  • Listing / Rental case — policies, preferences, clarification history
  • Property — amenities, location, utilities
  • Rental unit — unit-specific facts
  • Applicant / Prospect — move-in wishes, household composition, style preferences
  • Contact — general information about the contact person

Note: Locari does not forget automatically — unlike personalized AI in chat applications. Entries remain until you explicitly delete them.
